Set out below are some of the terms on which KLYNIK provides service to its clients. Please ensure that you have read and fully understood them prior to booking any treatment.

Welcome to our website. If you continue to browse and use this website, you are agreeing to comply with and be bound by the following terms and conditions of use, which together with our Privacy Policy govern KLYNIK relationship with you in relation to this website. If you disagree with any part of these terms and conditions, please do not use our website.

The content of the pages of this website is for your general information and use only. It is subject to change without notice.

Neither we nor any third parties provide any warranty or guarantee as to the accuracy, timeliness, performance, completeness or suitability of the information and materials found or offered on this website for any purpose.
You acknowledge that such information and materials may contain inaccuracies or errors and we expressly exclude liability for any such inaccuracies or errors fully permitted by law.

Your use of any information or materials on this website is entirely at your own risk, for which we shall not be liable. It shall be your own responsibility to ensure that any products, services or information available through this website meet your specific requirements.

TERMS & CONDITIONS

Please find the terms on which KLYNIK has set below which provides service to its clients. Please ensure that you have read and fully understood them prior to booking any treatment or consultation.

APPOINTMENTS

  • Please arrive at least 10 minutes prior to your appointment time so that the necessary forms can be completed. Late arrival may result in reduced treatment time or forfeiting of the appointment.

  • All the practitioners at KLYNIK are trained and certified in accordance with the company’s treatment protocol and therefore we do not guarantee continued treatment with a specific named practitioner.

  • At KLYNIK we aim to keep your appointment run according to arranged time where possible; however, should we need to cancel your appointment at short notice, we will make every effort to contact you in advance.

  • Prior to your appointment we will inform you of any preparation required in advance of your treatment such as shaving, make up removal, avoidance of sun exposure etc. Failure to follow the guidelines may result in cancellation of your appointment, reduced treatment time, or additional fees being charged.

  • Please be advised makeup, deodorant, perfume and oil based products must be removed before treatment. Practitioners will cleanse the area however we cannot be held responsible for all of the above products that may lay dormant in the skin pores and can cause an adverse reaction.

  • All clients have to be 18+ of Age to start any treatment. (Photo Id may be requested)

CANCELLATION / RESCHEDULING POLICY

  • If you are unable to attend your appointment, please contact us immediately on 020 4506 7777 or email bookings@klynik.co.uk
    (At busy times if we are not able to answer your phone call immediately, please leave us a voice message and we will return your call as soon as we are available)

  • KLYNIK requires 48 hours notice to reschedule or cancel appointments.
    Failure to cancel or rearrange 48 hours before your appointment will result in the loss of your appointment from your prepaid course of treatment or the full charge of treatment if you have purchased a single session. Our policy remains consistent for all circumstances. This means that regardless of emergencies, medical issues, sickness, doctor appointments, or any other unforeseen situations, we are unable to make exceptions for reasons arising within 48 hours of the appointment.

  • Appointments can only be rescheduled once. If you reschedule your appointment more than once then your appointment will be automatically cancelled by our booking system and we would ask you to call a couple days before your requested appointment time to book, or we can add you to our waiting list. This is to prevent misuse of our booking system.

  • KLYNIK sends out a reminder of appointment via SMS and email at least 48 hours prior to your appointment, however this is NOT to be confused as a reminder of your 48 hour notice of cancellation. We are not held accountable should you not receive the reminder for any reason as this can happen due to email / spam problems, network problems, or any problem out of our hands. It is your responsibility to note the date and time of your appointment at the time of booking. If you did not receive a confirmation of your booking 10 minutes after you booked then please contact us immediately via email or telephone.

  • Our online booking system will not allow you to cancel or reschedule your appointment less than 48 hours before your appointment.

  • If you wish to contact us via email to reschedule or cancel your appointment, then please make sure you have received an email back from us to confirm this has been actioned.
    Without a reply back from us, your appointment has not been rescheduled or cancelled and you should not to assume that an email sent to KLYNIK deems as a reschedule or cancellation.
    If you haven’t heard from us within 2 hours then please call 020 4506 7777 to let us know. This is due to emails that could end up in spam folders, misspelling of email addresses entered by clients or any other reason, which can occur.
    So please call if you do not hear back from us via email.

  • We do not accept cancellation or rescheduling messages via Text/SMS, What’s App, Instagram, Facebook, TikTok or Twitter.
    Our Social Media moderators do not have access to our bookings system, so they are not able to cancel or re-schedule appointments. We are not held accountable should you use this method to contact us.

LATENESS POLICY

If you arrive late, it is not always possible for us to accommodate your full appointment, which means your appointment time may have to be shortened or cancelled which means a loss of your appointment from your prepaid course of treatment or the full charge of treatment if you have purchased a single session. We will always try to accommodate last minute changes if we can, however this is only if the appointment is available for a later time on the same day.
We always advise clients to arrive 10 minutes before their appointment so they can fill out the necessary forms prior to treatment.

We also ask that you do not pressurise the therapist to do all your treatment if only part of your treatment can be completed in the time available. This is to prevent any mistakes from happening. It is the therapists discretion on what they are able to treat. If you do pressurise the therapist or are rude to the therapist or any member of our team then we will cancel your treatment immediately, forfeit your session and end any future sessions with KLYNIK.  The onus is on the client to arrive on time and we are not liable for outside occurrences that delay your journey to your appointment.

TREATMENT SUITABILITY

At KLYNIK we ask all clients to fill out a medical history form for all the treatments and services we provide so we can assess suitability for treatment. As all treatments have contraindications that would make it unadvisable to proceed as it can cause an adverse reaction. The contraindication and guidelines to treatments are provide by the manufacturer / supplier of the device or goods used at KLYNIK. We must adhere to their guidelines in order to proceed with the treatment. So at your consultation or patch test we would assess whether you would be suitable for treatment.
If a particular treatment or medication you are taking may cause an adverse reaction then we may refuse treatment or we may ask you to provide a letter from your GP / Doctor to confirm you are suitable for treatment.
This is no way discriminatory to a client’s health or medical condition and only following the manufacturers, suppliers and insurers guidelines. We must comply to this in order to provide these treatments.

BOOKING FEE & CANCELLATION POLICY FOR CONSULTATIONS

We charge £10 for all our consultations and patch tests.
Should you need to cancel or reschedule we kindly ask that you call us 48 hours before your appointment.  The booking fee is non-refundable should you fail to give full notice or arrive late for your appointment.
This allows us to manage our diaries and offer the appointment time to another client.

PAYMENT POLICY

Correct payment must be received before treatments can be scheduled and commenced. Generally, this is in full. We offer interest free finance on courses but this depends on the treatment or payment amount. This option can be discussed in your first initial appointment/consultation. If you refuse to pay in advance, we have the right to refuse your treatment.

COURSES OF TREATMENTS

  • All treatments purchased as a course must be paid for in full in advance of the first treatment.

  • If you have placed a deposit to secure you course offer before your first treatment then the deposit can only held for 30 days and full payment must be paid before your first treatment. If you do not pay the remaining amount for the course after 30 days then the course offer is no longer valid. The deposit is non-refundable and cannot be used against other treatments or passed onto another person.

  • If the course is purchased with the option to pay in instalments which is only available on Laser Hair Removal courses of 4 or more areas. The instalments must be paid within 6 months from the date of purchase. This is to prevent client’s who delay their treatment dates to prolong payment dates. KLYNIK must have full payment of the course purchased otherwise the payment option will be cancelled and full payment must be made to continue the course. All instalement payments must be made immediatley after each appointment.

  • All treatment courses must be taken within 12 months of the date of purchase; any treatments left untaken after 12 months will be forfeited.

  • Prices quoted on our website are based on pre-paying for a course of treatments.

  • Once a course has been purchased, the course cannot be upgraded or downgraded. All areas for each particular session need to be completed in the same sitting and cannot be split.

  • For laser hair removal, the areas chosen for the course cannot be changed or swapped for other areas after your first session from the course.

  • For laser hair removal courses no reduction in price is available where areas have been removed from the package.

  • If the course has to be ended or cancelled for any reason then the course is calculated as single treatment prices. The total number of treatments you have had, we will minus from the amounts paid.

  • Please read all sections in the Terms in Condition’s where the policies applies to Courses of Treatments 

INJECTABLE TREATMENTS

  • We charge a £20 Consultation fee with the medical professional. This is non-refundable but is redeemable against treatment

  • Given the higher cost of our injecting medical professional’s time, we reserve the right to charge a non-refundable deposit in advance for all injectable treatments. This deposit can then be used towards treatment.

  • Should you need to cancel or reschedule we kindly ask that you call us 48 hours before your appointment.  Booking fees and deposits are non-refundable should you fail to give full notice or arrive late for your appointment.

  • Dermal filler pricing - The price is based on ml of dermal filler as recommended for the client by the treating medical professional

  • Anti-Wrinkle Treatments - Clients may require less or more units to treat the selected area. If a client requires more than the maximum number of units to treat the selected areas, additional payment will be required.

  • Anti-Wrinkle Treatments - The number of units administered will solely be at the discretion of the medical professional prescribing the product

  • Standard terms and conditions for cosmetic injections apply

REFUND POLICY

At KLYNIK we do not offer refunds on treatments or courses of treatments. If you change your mind about a treatment you have purchased within 14 days, and none of your sessions have been redeemed yet, we are happy to offer an exchange for another service. Treatments/services are not transferable to other individuals.

  • If you have been advised not to continue with your course due to medical reasons, please obtain a medical report from you doctor. If any of the sessions from a package have been used, the refund amount will be based on the deduction of the individual list price rather than the discounted package price. Also the individual list price of any sessions which were forfeited due to not following the pre and post treatment guidlines or where you were late or not showed up.

  • If you fall pregnant and are on a light sensitive treatment. Your course can be put it on hold for up to 3 months after you conceive your baby and put on hold for 3 months if you are on a light sensitive treatment.

  • Please be advised we do not offer refunds on any treatment taken via our finance option, except in cases where a medical exemption is presented. In this case, we would have to charge an administration fee to implement the refund.

  • Refunds will be provided where required under the respective country’s consumer law.

PRICING

While KLYNIK strives to provide accurate product and pricing information, pricing or typographical errors may occur during website upgrades, emails & maintenance. In the event that an item is listed at an incorrect price or with incorrect information due to an error in pricing or product information, KLYNIK shall have the right, at our sole discretion, to refuse or cancel any orders placed for that item. In the event that an item is mispriced, KLYNIK may, at our discretion, either contact you for instructions or cancel your order and notify you of such cancellation.

CREDIT NOTES

If you hold a credit note with us, it is only valid for a year since date of issue. It can only be redeemed for the same service as the original reason for credit. Credit notes cannot be passed onto other person/s.

LIABILITY POLICY

  • At KLYNIK we will not be liable in contract, tort or otherwise for any economic loss (including, without limitation, loss of profit), or for any other special, indirect or consequential loss or damage arising out of, or in connection with, its provision of any goods and/or services to the client.

  • It is the client’s responsibility to ensure that he/she provide us with all relevant medical details prior to each treatment. We will not be liable for any damage that occurs as a result of the client’s failure to disclose such details.

  • The client agrees to comply with all instructions and/or recommendations given to them by, or on behalf of, KLYNIK therapists regarding the care of a treated area.

COMPLAINT POLICY

  • Our aim is to provide the best service possible, but there may be times when you feel that this has not happened. Most of the times we can rectify any issues you may have with the service or treatment immediately. All we ask in the first instance is that you contact us first. Even if it’s a small comment or complaint, let us know. You can do this either in person, by telephone or in writing via email to info@klynik.co.uk

  • The member of staff who initially receives the complaint will convey the details to the clinic manager and you will receive an acknowledgment within three working days of lodging the complaint that an investigation into the matter is under way.

  • During the course of the investigation, we may contact you for further information via email or telephone.

  • Complaints of a non-medical nature will be handled in their entirety by the Clinic Manager

  • If your complaint is treatment related the matter will be discussed with the relevant therapist or practitioner involved in your treatment (if needed) and may require you to attend an additional consultation with that therapist or practitioner or an alternative member of the clinic.

  • If you are not satisfied with this initial attempt at resolution or have any objection to being seen by this practitioner, the clinic manager will review your case.

  • The objective of this is to provide an explanation or a solution to your concerns. KLYNIK aims to furnish you with a full written response within 20 working days or where this is not possible, an explanation as to the cause of the delay.

CHILD CARE POLICY

Any client who requires treatment and brings a child with them must also be accompanied by another adult to chaperone the child whilst the client is being treated. Failure to bring an adult chaperone with any child will result in the treatment being cancelled and loss of the treatment or deposit. No children under the age of 16 years must be left unattended within the clinic at any time.

PRIVACY LAWS AND USE OF MOBILE PHONES & DIGITAL DEVICES

Privacy is important to us. There is an expectation of privacy at KLYNIK for all our clients, visitors and employees. It is a breach of privacy laws to video film, audio record or take pictures of someone in a private premises without any prior consent, which must be in writing from our head office. Phones cannot be used whilst in the treatment room and must be put away in the designated area to avoid damage or distracting the therapist. We ask for all mobile phones or digital devices to be switched off or put on silent mode whilst you are in the premises. We have the right to refuse clients any services who are in breach of the privacy laws and take legal action if these laws have been breached.

PERSONAL BELONGINGS / JEWELLERY

At KLYNIK, we value the safety of your personal belongings and jewelry. We kindly request that you ensure your possessions are kept secure at all times, either by keeping them with you or placing them in designated storage areas. Please be aware that KLYNIK cannot assume responsibility in the event of loss or damage to your belongings.

In cases where a specific treatment necessitates the removal of jewelry, piercings, or other items that cannot be easily taken off due to the nature of the product, KLYNIK cannot be held liable for any damage to these items or any resulting harm to the individual wearing them. To ensure a safe and effective treatment experience, we kindly ask that all jewelry and piercings be removed before your scheduled treatment.

DRUNK OR UNDER THE INFLUENCE OF DRUG SUBSTANCES

The staff at KLYNIK will refuse treatment to any clients who are disruptive and obviously under the influence of alcohol or drugs. (This does not include clients who are receiving prescribed medication). If we find this is the case it will result in the treatment being cancelled and the loss of the treatment or deposit.

KLYNIK’s RIGHT TO CANCEL OR END CONTRACT / OFFER / COURSES

KLYNIK has the right to cancel or end any further treatments with a client if our Terms & Conditions are not met; if the pre & post treatment guidelines for that treatment are not followed; if the recommended timeframe for each treatment are not followed; if a client behaves in an abusive, anti-social, intimidating, disorderly or threatening manner to any member of our team or visitors; if a client is consistently late, does not show up for a treatment or misuses our diary or booking system.
In the circumstance where we have to cancel or end any further treatments due to any of these reasons and where monies have been paid to us by the client for courses of treatments. Then the course offer is invalidated. If any of the sessions from a package have been used, the refund amount will be based on the deduction of the individual list price rather than the discounted package price. Also the individual list price of any sessions which were forfeited due to not following the pre and post treatment guidelines or where you the client was late or not showed up. Any KLYNIK rewards, points or offers will be also be forfeited.

MACHINE MAINTENANCE POLICY

In the event of the machine maintenance, we will need to reschedule your appointment. We will aim to notify you at the earliest opportunity and offer you the first available appointments. This is to ensure we maintain continuous high level of service.

  • Not to be used in conjunction with any other offer, promotion, discounts or sales.

  • Only valid for full price treatments or courses.

  • Discount applicable to treatments and treatments courses only (does not include retail products)

  • Discount cannot be used against any Doctor led treatments or consultations.

  • Minimum spend £80.

  • Offer is subject to full consultation and patient suitability for treatment.

  • Valid NUS card to be shown at the time of purchasing the treatment.

  • KLYNIK reserves the right to withdraw this offer at any time.
